Event Participant Privacy Notice

Last updated: October 25, 2026

1. About This Notice

This notice explains how CenterStage, an event technology platform provided by 2 Stream BV, handles personal data when you register for, access, participate in or speak at an event hosted through CenterStage.

The event organizer — the CenterStage customer running the event — is generally the data controller. The organizer decides what information to request, why it is needed and how it will be used. 2 Stream BV generally acts as a data processor when providing registration, event access, audience interaction and attendance functionality on the organizer’s behalf.

For the organizer’s identity, contact details, specific purposes, legal bases and retention rules, please consult the organizer’s own privacy information. This CenterStage notice supplements, but does not replace, that information.

2 Stream may separately act as a controller when processing limited technical information for its own service security and diagnostics. Our general Privacy Policy explains those activities.

2. What Data Is Processed?

The data collected depends on the event’s settings. A public event may be accessible without entering your name or email address. An organizer can also require registration or a shared password.

The organizer determines the legal bases for the event-related activities above and must explain them in its own privacy information. We do not assign one universal legal basis to every event. For 2 Stream’s independently determined service security and diagnostics, our basis is generally our legitimate interest in operating and protecting the service.

Questions: The question form may prefill a name from the participant’s registration details, but participants can change that name before submitting. Questions are stored separately from participant records; the entered name or text may still identify a person.

3. Cookies, Local Storage and Analytics

CenterStage uses browser storage for event access, session management, video playback preferences and, where configured, optional Google Analytics. See the separate Event Cookie Policy for the detailed inventory, purposes and retention information.

Google Analytics is optional. Where the organizer enables it, the CenterStage event page loads its script only after Accept is selected in the analytics banner. Refusing does not affect registration, playback or participation. Cookie settings allows the choice to be changed. The Event Cookie Policy describes the relevant storage, including the browser identifiers created by the video player. Embedded CenterStage players do not load Google Analytics.

4. Video Streaming and External Services

When 2 Stream supplies streaming for an event, it uses Uplynk as the underlying streaming provider. An organizer may instead connect its own streaming provider or specify a custom video stream. To deliver video to your device, the relevant streaming infrastructure receives technical requests, which can include your IP address.

The streaming provider and any additional external resources used by the organizer may have their own privacy practices. The organizer’s privacy information should explain any provider-specific processing it determines.

CenterStage uses Sentry for error monitoring on event pages; Session Replay is not enabled. Event pages may also load configured fonts, images and other resources. Please consult the organizer’s privacy information for resources it chooses to include.

5. Hosting and International Transfers

CenterStage uses infrastructure provided by OVHcloud for its application, database and stored event data. CenterStage infrastructure and database servers are hosted in France, the United Kingdom and Canada.

Some technology providers, including Google, Sentry and streaming providers where applicable, may process information outside the European Economic Area. For further details of transfer safeguards covering 2 Stream’s own processing, see our Privacy Policy and contact hello@centerstage.tv. For services selected by the event organizer, ask the organizer about its arrangements.

6. How Long Is Data Kept?

The organizer generally decides how long registration details, attendance records, questions and other event-related personal data are needed. CenterStage retains event data while the organizer keeps the event in the platform, unless the applicable contract, documented instructions or legal obligations require otherwise.

When an organizer deletes an event, the event document and embedded questions, polls and invitations are deleted, along with specified event files and live-control records. Separate participant/viewer records are not currently automatically deleted with the event; the organizer can request their deletion. Separate technical logs, external analytics, streaming-provider records or third-party systems may follow their own justified retention rules.

For event-specific retention periods, contact the organizer. For technical logs and error reports retained by 2 Stream, see section 6 of our Privacy Policy.

7. Your Rights

Subject to the GDPR’s conditions, you may have rights to access, rectify or erase your personal data, restrict or object to processing, receive portable data, and withdraw consent where consent is the legal basis. Withdrawal of consent does not affect processing already lawfully performed.

For registration, attendance, questions or other event-related data, contact the event organizer, as the organization generally responsible for those processing activities. 2 Stream assists organizers in handling applicable requests.

Right to object to 2 Stream’s legitimate-interest processing. On grounds relating to your particular situation, you may object to our independently determined technical security and diagnostic processing. Contact hello@centerstage.tv.

For processing for which 2 Stream is the controller, contact hello@centerstage.tv. You can also complain to the Belgian Data Protection Authority or another competent supervisory authority.
